Office Assistant   The Roman Catholic Diocese of Kamloops currently has a great opportunity for an experienced and qualified Office Assistant

You will welcome and provide a pleasant service experience to visitors, coordinate front-desk activities, offer administrative support across the organization and contribute to an efficient workflow in a busy work environment.  As a member of the office support team, you will provide polite and professional assistance via phone, mail and e-mail, re-direct phone calls, distribute correspondence, and always be prepared to handle the daily priorities timely and efficiently.  Reporting to the Office Manager, this position best fits a candidate who is helpful, maintains a positive presence in the workplace and demonstrates a genuine desire to respond to the needs of others.  

Responsibilities:

·         Greets, welcomes and assists visitors politely and professionally and directs visitors to the appropriate party

·         Maintains office security by following safety procedures and controlling access via the reception desk

 ·         Provides basic and accurate information; screens and routes in-person, phone or email inquiries to appropriate party

·         Performs office tasks such as filing, typing, data-entry, sorting and distributing daily mail and deliveries

·         Collects and organizes information and news articles from parishes, schools and diocesan ministries into a weekly newsletter and ensures that this is sent out timely to email distribution list

·         Updates the weekly newsletter on the diocesan website

·         Creates and updates electronic posters for the TV screen in the front desk area

·         Collects, gathers and organizes news articles, events, information, photos and advertisements for the quarterly Diocesan News; monitors that submissions from contributors are on track to meet the set deadline

·         Ensures strict compliance with the production, mailing and distribution schedule of the Diocesan News with direction from the Office Manager

·         Performs overall bookkeeping for two small parishes including deposits, payments, general ledger, bank reconciliation and month-end reporting

·         Conducts requested searches for sacrament records; prepares / obtains proper documentation and signatures

·         Prepares letters to bank for changes in signing authorities for diocesan and parish bank accounts with the direction of responsible officers

·         Performs other duties as required  

Skills and Experience:

·         Minimum 5 years of office and administrative experience is required

·         Prior experience in a not-for-profit environment is considered an asset

·         Certificate in Office Management or post-secondary education in an administrative discipline is preferred

·         Experience in bookkeeping is considered an asset

·         Proficient in Microsoft Office Suite, Outlook, Word, Excel, Adobe and Publisher

·         Proven ability to coordinate, organize, initiate and complete tasks timely and meet deadlines

·         Able to prioritize with the flexibility to manage workload demands and multiple tasks

·         Solid verbal, written communication and interpersonal skills and detail oriented

·         Able to work independently and as a member of a team

·         Able to be resourceful and flexible when challenges arise and proactive in finding solutions
